Goals & Projects Overview

What It Is

Goals & Projects is your quarterly planning system. It organizes work into a clear hierarchy — Goal → Project → Outcomes → Tasks — so you always know what you're working toward and how far along you are.

Why It Matters

Without structure, work expands to fill the time and the important stuff gets buried under the urgent. Goals & Projects gives each quarter a clear target, breaks that target into projects with defined outcomes, and connects your daily tasks back to what actually matters. You can see your progress at a glance and know exactly where to focus.

Key Concepts

  • Goal — A quarterly objective tied to a specific quarter and year (e.g., Q1 2026). Each goal contains one or more projects.
  • Project — A body of work under a goal. Has a title, purpose, priority (P1/P2/P3/on-hold), and contains outcomes and tasks.
  • Outcome (Definition of Done) — A specific, completable result that defines project success. Think of outcomes as the checklist for "how do I know this project is done?"
  • Task Linkage — Tasks can be created directly from an outcome. Completing the task auto-completes the outcome, and vice versa.
  • Zen Mode — A minimal view that hides pace charts, priorities, and heatmaps so you can focus on the work itself. Toggle with the leaf icon.

What You Can Do

Plan a Quarter

  • Create a goal by clicking "Create Goal" — give it a title, description, and select the quarter/year.
  • Add projects under each goal with a title, purpose, and optional tags.
  • Define outcomes for each project — these are your Definition of Done items.
  • Create tasks from outcomes — click the task icon next to any outcome to generate a linked task.

Track Progress

  • Progress bars show completion at both the goal and project level.
  • Pace indicator compares your actual progress against expected pace for the quarter.
  • Variance shows whether you're ahead or behind schedule.
  • Activity heatmaps on project cards show recent activity patterns.

Manage Projects

  • Set priority — P1, P2, P3, or on-hold. Projects auto-sort by priority.
  • Open project details to see notes, outcomes, tasks, and linked resources in one sheet.
  • Add tags to projects — linked resources automatically inherit project tags.
  • Complete outcomes by checking them off. Linked tasks complete automatically.

Transition Between Quarters

  • When a quarter ends with incomplete work, use "Continue Work" to migrate projects to the next quarter.
  • Only incomplete outcomes carry forward — completed work stays in the original quarter.
  • You can also "Extend Current Projects" when creating a new goal to continue past work under a fresh goal.

Organize with the Kanban

  • Goals display as columns on the kanban board.
  • Projects appear as cards within each goal column.
  • Expand a project card to see its outcomes and tasks inline.
  • Add outcomes and tasks directly from the kanban without opening the detail sheet.

Tips

  • Start with outcomes, not tasks. Define what "done" looks like for each project first, then create tasks to get there.
  • Use P1 sparingly. If everything is P1, nothing is. Reserve it for 1-2 projects per quarter.
  • Toggle Zen Mode when you want to focus on doing the work instead of measuring the work. It hides pace, variance, heatmaps, and priorities.
  • Tasks created from outcomes default to end-of-week due dates so they appear in your "This Week" task view.
  • Review quarterly. At the end of each quarter, review what was completed, what carried over, and adjust your goals for the next quarter.

On Mobile

  • Goals display as an expandable list instead of a kanban board.
  • Tap a project to focus — other goals and projects fade to the background.
  • Swipe or tap to open the project details sheet for full access to outcomes, tasks, notes, and resources.
  • Use the quarter navigation arrows at the top to move between quarters.
  • Tasks — Tasks live under projects and can be linked to specific outcomes. Filter tasks by project on the Tasks screen.
  • Notes — Use Notes to brainstorm project ideas, capture meeting notes, or reflect on quarterly goals.
  • Resources — Link resources to projects for reference material, documents, and useful links.
  • Home Dashboard — The Goals widget on your home screen shows a snapshot of your current quarter's progress.
